By the end of this guide you'll know how to use the Add to pipeline selector when you send bulk invitations, so the people you invite show up in your fundraise pipeline right away instead of waiting for each one to land and submit a response.
Note
Sending bulk invitations is a GP task. You need access to your firm's workspace and the fundraise you're inviting for, with a fundraise and its share classes already set up. See Create a fundraise if you haven't done that yet.
Choose an add-to-pipeline option
The Send Bulk Invitations dialog includes an Add to pipeline selector with three options:
- None — send the invitations only. Nothing is added to your pipeline until an invited contact lands and submits a response, the same as today.
- Potential — the default. Each recipient is placed in your pipeline as a Potential opportunity as soon as you send.
- Soft Circle — each recipient is placed in your pipeline as a Soft Circled opportunity as soon as you send.
Send invitations and add recipients to your pipeline
- Open the Send Bulk Invitations dialog for your fundraise and select the recipients you want to invite.
- Confirm the share class the invitations should use.
- In the Add to pipeline selector, choose None, Potential, or Soft Circle. Potential is selected by default.
- Send the invitations. If you chose Potential or Soft Circle for more than 20 recipients, a confirmation appears — choose Send & add to pipeline to proceed as selected, or Send without adding to send the invitations without creating pipeline opportunities.
- With 20 or fewer recipients, sending with Potential or Soft Circle selected places everyone in the pipeline directly, with no extra confirmation.
Note
Potential defaults to selected because bulk-inviting someone usually means you're already tracking them. Switch to None if you'd rather wait until an invitee responds before they appear in your pipeline.
Tip
When a recipient is linked to exactly one investing entity in your CRM, the new opportunity is connected to that entity automatically. If a recipient has no linked investing entity, or more than one, the opportunity is created without one attached — you can link it later from the opportunity.
Note
If a recipient already has an opportunity in this fundraise's pipeline, sending them another bulk invitation reuses that existing opportunity instead of creating a duplicate.
What happens after you send
If a recipient you added to the pipeline later lands on your invitation and submits a response, Covercy One reuses the opportunity created at send time rather than creating a second one for that contact and fundraise. If that opportunity is already Soft Circled, submitting a response that would otherwise set it to Potential does not move it backward — a more advanced pipeline status is never downgraded.
Verify it worked
After sending, open your fundraise's pipeline. Each recipient you added should appear as a new opportunity at the status you chose (Potential or Soft Circled), linked to the share class you selected. If you chose None, no new opportunities appear until an invitee submits a response. If an opportunity you expected is missing, confirm you have access to the fundraise, or reach out to our team for help.
- What's the difference between the one-at-a-time Add Investor flow and using Add to pipeline on a bulk invitation?
- Both place a contact in your pipeline at a chosen status. Add to pipeline lets you do it for every recipient of a bulk invitation in one step, at send time, instead of adding investors one at a time.
- Will choosing Potential or Soft Circle send a different email to investors?
- No. The add-to-pipeline choice only affects your pipeline. The email content and who receives it stay the same regardless of which option you pick.
- Why did the confirmation dialog appear when I sent my invitations?
- It appears when you send to more than 20 recipients with Potential or Soft Circle selected, so you can confirm you want to add everyone to your pipeline before it happens. Choose Send & add to pipeline to proceed, or Send without adding to send the invitations only.
- Will sending a bulk invitation twice to the same person create two opportunities?
- No. If that contact already has an opportunity in this fundraise's pipeline, sending another invitation reuses it instead of creating a duplicate.
- Why isn't a recipient's opportunity linked to an investing entity?
- An opportunity is linked to an investing entity automatically only when the recipient has exactly one non-deleted investing entity on file. If they have none, or more than one, the opportunity is created without one attached, and you can link it later.
