By the end of this guide you'll know how to see the contacts linked to the investing entities you own, add a new contact and choose which entities they're linked to, and remove a contact when you no longer need them there.
Note
You need to be signed in to the investor portal and own at least one investing entity to see and manage contacts.
View your contacts
Open Settings, then select Contacts to see a single list of the additional contacts across every investing entity you own. Each row shows the person's name, email, and every one of your entities they're linked to, so a person attached to more than one of your entities appears only once. An Added by column shows You if you added the contact yourself, or Fund manager if one of your fund managers added them.
The list only ever covers entities you own — contacts on entities that belong to someone else never appear here, and you can only add or remove contacts on your own entities. If you'd rather look at one entity at a time, each investing entity you own also shows its own contacts on that entity's page in Settings.
Add a contact
- From Settings, select Contacts.
- Select Add contact.
- Enter the contact's first name, last name, and email address. Email is required.
- If you own more than one investing entity, choose which entities to add the contact to. Leave All entities checked to add them to every entity you currently own, or uncheck it and pick specific entities instead. If you own only one entity, this step doesn't appear — the contact is added to that entity automatically.
- Submit to add the contact.
Warning
All entities adds the contact only to the entities you own at the moment you submit. If you add a new investing entity later, it won't automatically pick up contacts you added earlier — add them to the new entity separately.
Tip
Adding a contact who has an email address gives that person access: they'll be able to sign in and view the investing entity you added them to (and any other of your entities they're already linked to). Covercy also emails them to say you've given them access and to invite them into the investor portal, naming the entities you just shared, so this isn't a silent change — only add people you want to have that visibility.
Note
If your investing entity is linked with more than one fund manager, adding or removing a contact from your entity's contact list applies everywhere that entity is tracked — you don't need to repeat the action for each fund manager.
Remove a contact
- From Settings, select Contacts.
- Find the contact and open the remove action on their row.
- Choose whether to remove them from one entity, several, or all of the entities they're linked to.
- Confirm the removal.
Note
Removing a contact only removes their connection to the entity or entities you chose. It doesn't affect their access to any of your other entities they're still linked to, and it doesn't delete your fund manager's own record of them — your fund manager keeps that contact in their CRM. Nothing is emailed to the person when you remove them.
Verify it worked
After adding a contact, confirm they appear on your contacts list with the entities you selected and the correct Added by label. After removing a contact, confirm they no longer show against the entity or entities you removed them from. An add or a removal applies to every entity you selected together, so if it fails you'll see an error and the list stays exactly as it was rather than applying to only some of them. If you see an error, try again, and reach out to our team if it continues.
- What does the Added by column mean?
- It shows who added each contact. You means you added them yourself from the investor portal; Fund manager means one of your fund managers added them from their side.
- Does adding a contact give them access to my investing entity?
- Yes, if the contact has an email address. They'll be able to sign in and view the investing entity you added them to, in addition to any of your other entities they're already linked to.
- Will the person know I added them as a contact?
- Yes. When you add a contact who has an email address, Covercy emails them to say you've given them access and to invite them into the investor portal. The message names the entities you just shared with them. Adding a contact is not a silent change, so only add people you're comfortable notifying. If the person doesn't have a Covercy account yet, they can create one with that email address and the entities you shared will be waiting for them.
- Does removing a contact notify them?
- No. Nothing is sent when you remove someone from an entity — the notification only goes out when you give someone access.
- If I add someone to another entity later, are they emailed again?
- They're only told about access that's new to them. Adding a contact to an entity they can already see doesn't send anything; adding them to an entity they couldn't see before does, and names just that entity. If you removed someone earlier and add them back, that counts as new access, so they're notified again.
- What if my fund manager already has that person as a contact?
- Covercy matches on the email address, so your fund manager's existing record for that person is reused and linked to your entity instead of creating a duplicate. Their existing name stays as it is — adding them doesn't overwrite it.
- If I remove a contact from all my entities, is their record deleted?
- No. Removing a contact only removes the connection between that person and your entity or entities. Your fund manager's own contact record for that person is unaffected and stays in their CRM.
- Do I need to add the same contact separately for each fund manager?
- No. If your investing entity is linked with more than one fund manager, adding or removing a contact from your entity's contact list applies across all of them at once.
- I only own one investing entity — why don't I see an entity selector when adding a contact?
- The entity selector only appears if you own more than one investing entity. With a single entity, Covercy One adds the contact to it automatically.
