Getting started

Explore a holding's detail page

Get oriented on a holding's detail page in Covercy One — the ownership structure and photos at the top, the bank account balances that stay with you on every tab, the notices above the tabs, and the Details tab where you manage addresses and custom fields.

By the end of this guide you'll know your way around a holding's detail page — how to read the holding's ownership structure and manage its photos, where to check its bank account balances, what the notices above the tabs mean, how the tabs are organized, and how to manage the holding's addresses and custom fields from the Details tab.

Note

You need access to your firm's GP workspace and at least one holding to follow along. If you haven't created a holding yet, start with the Add your holdings guide.

Open a holding

Open Holdings and select a holding to reach its detail page. You can also get there from the GP dashboard — click a marker on the holdings map or an entry in Last viewed holdings.

The top of the page is a header block with two panels: the holding's ownership structure or photos on the left, and its Bank Accounts panel on the right. The block sits above the tab bar, so both panels stay in view on every tab.

Read the ownership structure

When a holding is part of an ownership chain — a fund that owns other holdings, or a holding that is owned by one of your funds — the left panel opens on Structure, a diagram of that chain. Owners sit above the holdings they own, the holding you're viewing is highlighted, and each holding shows whether it's a fund or an asset. Connectors are labelled with the ownership share, and an Investors pill stands for the investors in a holding other than your funds, with their combined share.

  1. Open a holding that's part of an ownership chain. The left panel shows Structure on arrival.
  2. Select another holding in the diagram to open its page. Select an Investors pill to open that holding's Overview, where its positions are listed.
  3. Use the zoom controls to enlarge the diagram or fit it back to the panel. Scrolling over the diagram scrolls the page rather than zooming.
  4. Open the full-screen view to see the whole chain with every holding labelled, and pan and zoom freely. If a chain is too large to draw in the panel, the panel tells you how many holdings and levels it has and points you to full screen.

Tip

In a large chain, a holding with a big branch beneath it offers a control to collapse that branch; a marker shows how many holdings are hidden, and selecting it brings them back. Collapsed branches open again the next time you visit the holding.

A holding that isn't part of any chain — a standalone asset, or a fund that owns nothing and isn't owned by another fund — shows its photos in the left panel instead, with no switcher.

Add photos and choose the primary image

Photos live in the holding's Images section. On a holding that's part of a chain, switch the left panel from Structure to Photos to reach it — the switcher is there even before you've added any images. On any other holding, the Images section fills the left panel.

  1. Open the holding and, if it shows Structure, switch to Photos.
  2. In the Images section, upload the images you want to add.
  3. Choose which image is the primary image. It becomes the holding's thumbnail in the Holdings list.
  4. Select any thumbnail to open a larger view of the image.

Uploading photos doesn't change what the panel shows first: a holding that's part of a chain still opens on Structure.

Check bank balances from any tab

The Bank Accounts panel on the right lists each of the holding's accounts with its account name, type, status, balance, and available amount. It shows bank accounts and nothing else, on every holding type including funds. Click a row to open that account's detail page for the full picture.

Warning

Covercy will never ask you to share your password, two-factor codes, or banking credentials by email, text, or phone. Always navigate to Covercy directly rather than following links in unexpected messages.

Notices above the tabs

Between the header block and the tabs, the holding can show notices that need your attention. Like the header block, they appear on every tab.

  • Over-capacity notice — appears when a capacity figure on the holding or one of its share classes is smaller than what's booked against it, which makes ownership percentages read impossibly high. The Fix commitments that exceed a holding's capacity guide explains how to read and resolve it.
  • Wire verification notice — appears when a wire sent from one of the holding's bank accounts is waiting on a verification call, with a Start verification action. Once the call is complete it reads that the wire is under bank review, and it disappears when the bank makes its decision. The Make a payment guide walks you through the call.

How the tabs are organized

Below the header block and any notices, a holding's detail page uses a tabbed layout. The Overview tab comes first, the Details tab comes immediately after it, and then the tabs for the holding's other functional areas. Overview opens with the holding's positions table; Details is where the holding's addresses and custom fields live. If you're looking for an address, don't look on Overview — it isn't shown there.

Manage addresses on the Details tab

Select the Details tab to see the holding's Address section. From here you can add a new address, edit an existing one, or delete one the holding no longer needs.

When the holding's first address has a recognized location, the Address section also shows a read-only map with a single marker for that address, sitting just above the address text. You get the same map on a fund as on an individual asset. If the address hasn't been matched to a location, the section simply shows the address text with no map — nothing is broken, and the rest of the tab works as usual.

Tip

Add the holding's address early. A recognized address is what draws the map in the Address section, and it's also what places the holding on the holdings map on your GP dashboard. If a holding is missing from that map, add or correct its address here.

Edit custom fields

The Details tab also shows a Custom Fields section listing the custom fields your firm has defined for holdings, along with this holding's values. To update them:

  1. Open the holding and select the Details tab.
  2. In the Custom Fields section, switch from view mode to edit mode.
  3. Update the values you want to change. Each value must match its field's definition — for example, the field's expected type.
  4. Save your changes. On success, the section refreshes to show the updated values.

Verify it worked and where to get help

After saving, confirm the Details tab shows your updated addresses and custom field values — the Custom Fields section refreshes with the new values once the save succeeds, and a newly recognized address brings its map with it. After uploading photos, open Holdings and check that the holding's thumbnail shows the primary image you chose. If a value won't save, check that it matches the field's definition and try again. If a section or action is unavailable, confirm you have the right access in your workspace, or reach out to our team for help.

Why does my holding show a diagram instead of its photos?
Because the holding is part of an ownership chain — it owns other holdings or is owned by one of your funds — so the left panel opens on Structure. Switch to Photos to see and manage its images. Holdings that aren't part of a chain show their photos directly.
Where do I see which funds own this holding?
In the Structure diagram at the top of the holding page. Owners sit above the holdings they own, and each connector is labelled with the ownership share. Select a holding in the diagram to open it, or open full screen to see the whole chain.
How do I change the thumbnail shown in the Holdings list?
Choose a different primary image in the holding's Images section. On a holding that's part of a chain, switch the left panel to Photos first. The primary image you choose is what the Holdings list shows.
Where do I find a holding's address?
On the holding's Details tab, in the Address section. That's also where you add, edit, or delete addresses — the Overview tab doesn't show them.
Why doesn't the Address section show a map?
The map appears only when the holding's first address has been matched to a location. If it hasn't, you'll see the address text on its own with no map and no error. Editing the address so it resolves to a recognized location brings the map back.
Does the holding page show a map of a fund's portfolio?
No. The panel on the right of the header block shows the holding's bank accounts and nothing else, on every holding type including funds. The map in the Details tab's Address section covers the holding's own address, and a fund's portfolio holdings are listed on its Portfolio tab.
Where do I see a holding's bank account balances?
In the Bank Accounts panel in the header block at the top of the holding page. Because that block sits above the tabs, the panel is there on every tab. It lists each account's name, type, status, balance, and available amount, and clicking a row opens the account's detail page.
What is the wire notice above the tabs?
It means a wire sent from one of the holding's bank accounts needs a verification call before the bank releases it. Select Start verification to begin the call from the holding page — the Make a payment guide walks through it. After the call, the notice says the wire is under bank review until the bank decides.
Why won't my custom field values save?
Each value is validated against its field's definition, so a value that doesn't match — for example, the wrong type — is rejected. Correct the flagged values and save again. If the section won't switch to edit mode at all, confirm you have access to edit the holding.
Where do the custom fields on the Details tab come from?
They are the custom field definitions your firm has set up for holdings. The Details tab shows every holding custom field your firm defined and lets you fill in or update the values for this specific holding.
