Invite and manage your firm's team

Invite reps to your broker-dealer or RIA firm in the broker portal, and resend or revoke a pending invitation — for firm admins.

By the end of this guide you'll have invited a colleague to your firm's team in the broker portal and know how to resend or revoke an invitation that hasn't been accepted yet.

Note

This guide is for the admin of a broker-dealer (BD) or registered investment adviser (RIA) firm — including a managing broker-dealer (MBD) — that a fund manager has added to a fund's selling group. You need team-management permission for your firm to invite teammates. If you don't see the invite option, ask your firm's admin to send the invitation for you.

Warning

Covercy will never ask you to share your password, two-factor codes, or banking credentials by email, text, or phone. Let your colleague know an invitation is on its way, and ask them to open Covercy directly and sign in there if anything about the email looks unexpected.

Invite a rep to your firm

  1. In the broker portal, make sure your firm's name is active in the portal switcher.
  2. Open your firm's settings and go to the team settings page.
  3. Choose to invite a team member and enter your colleague's email address.
  4. Choose the role for the new team member from the options your firm is offered.
  5. Send the invitation. Covercy emails your colleague an invitation to join your firm, and the invitation appears in your list of pending invitations.

Note

Once your colleague accepts, they can work only on the funds your firm is assigned to. They don't get access to any other fund, and they see only your firm's own investors on each fund.

Resend or revoke a pending invitation

Each invitation that hasn't been accepted yet appears once in your pending invitations, with two actions:

  • Resend — emails the invitation again with a fresh link. Use it when your colleague can't find the email or their link has expired. Resending doesn't create a second invitation.
  • Revoke — cancels the invitation. The link stops working and the invitation leaves your pending list. You can invite the same email again later.

Tip

Your firm keeps at most one pending invitation per email address. If you invite an email that already has a pending invitation, Covercy refreshes and re-sends that invitation instead of adding a second one. Email matching ignores capitalization and surrounding spaces. If the person is already a member of your firm, the invitation isn't sent and you'll see a message saying so.

What your colleague does next

Your colleague opens the invitation email and accepts it while signed in with the same email address you invited — they can create a Covercy account at that step if they don't have one. After accepting, they open the broker portal from the portal switcher and see the funds your firm is assigned to. If they're signed in with a different address, the invitation can't be accepted.

Verify it worked

Check that your colleague shows exactly once in your pending invitations right after you send. Once they accept, they move from pending to an active member of your firm's team. If they still can't get in, resend the invitation, confirm they're using the invited email address, or contact Covercy support — always starting from Covercy directly rather than from a link in an unexpected message.

Can my colleague see funds my firm isn't assigned to?
No. A team member reaches only the funds your firm is assigned to. When a fund manager adds your firm to another fund, it appears for everyone on your team.
What happens if I invite the same person twice?
While an invitation is pending, inviting the same email again refreshes that invitation and re-sends the email. You'll still see a single entry for that person.
Can I invite someone again after revoking their invitation?
Yes. Once an invitation was revoked, expired, or declined, and the person isn't already a member, you can invite them again and a fresh invitation is sent.
Why can't I resend an invitation?
Resend is offered only on invitations that are still pending. An invitation that was accepted or revoked has no Resend action — if you need to bring someone back, send a new invitation.
My colleague already uses Covercy for another firm or as an investor. Do they need a new account?
No. One Covercy account works across every portal a person has access to. Once they accept your invitation with that account, your firm appears as its own entry in their portal switcher.
