Invite reviewers to your fund-admin team

Invite reviewers to your fund administrator firm in the Fund Admin portal, and resend or revoke a pending invitation. For firm admins.

By the end of this guide you'll have invited a reviewer to your fund administrator firm's team and know how to resend or revoke an invitation that hasn't been accepted yet.

Note

This guide is for the admin of a fund administrator firm. You need permission to manage your firm's team to send invitations. If you don't see the invite option, ask your firm's admin to invite your colleague for you.

Warning

Covercy will never ask you to share your password, two-factor codes, or banking credentials by email, text, or phone. Tell your colleague that an invitation is on its way. If anything about the email looks unexpected, they should open Covercy directly and sign in there instead of following the link.

Invite a reviewer to your firm

  1. In the Fund Admin portal, make sure your firm's name is active in the portal switcher.
  2. Open your firm's settings and go to the team settings page.
  3. Choose to invite a reviewer.
  4. Enter your colleague's First name, Last name, and email address. All three are required.
  5. Send the invitation. Covercy emails your colleague an invitation to join your firm as a reviewer, and the invitation appears in your list of pending invitations.

Note

Once your colleague accepts, they can work only on the funds your firm administers. They don't get access to a fund manager's other funds.

Resend or revoke a pending invitation

Each invitation that hasn't been accepted yet appears once in your pending invitations, with two actions:

  • Resend emails the invitation again with a fresh link. Use it when your colleague can't find the email or their link has expired. Resending doesn't create a second invitation.
  • Revoke cancels the invitation. The link stops working and the invitation leaves your pending list. You can invite the same email again later.

Tip

Your firm keeps at most one pending invitation per email address. If you invite an email that already has a pending invitation, Covercy refreshes and re-sends that invitation instead of adding a second one, and updates it with the first and last name you entered. Email matching ignores capitalization and surrounding spaces. If the person is already a member of your firm, the invitation isn't sent and you'll see a message saying so.

What your colleague does next

Your colleague opens the invitation email and accepts it while signed in with the email address you invited. If they don't have a Covercy account yet, they can create one at that step. The sign-up form is prefilled with the name you entered and the invited email, and they can correct their name there. After accepting, they open the Fund Admin portal from the portal switcher and see the funds your firm administers. If they're signed in with a different email address, the invitation can't be accepted.

Verify it worked

Right after you send it, check that the invitation appears exactly once in your pending invitations. Once your colleague accepts, they move from pending to an active member of your firm's team. If they still can't get in, resend the invitation and confirm they're signed in with the invited email address. If that doesn't help, contact Covercy support. Always start from Covercy directly, not from a link in an unexpected message.

Can a reviewer see funds my firm doesn't administer?
No. A reviewer reaches only the funds your firm administers. When your firm accepts a new fund, it appears in the Fund Admin portal for your team too.
What happens if I invite the same person twice?
While an invitation is pending, inviting the same email again refreshes that invitation and re-sends the email. You'll still see a single entry for that person, with the name you entered most recently.
My colleague already has a Covercy account. Will the name I entered change it?
No. The first and last name you enter only prefill sign-up for someone who doesn't have an account yet. They never change the name on an existing Covercy account.
Can I invite someone again after revoking their invitation?
Yes. If an invitation was revoked, expired, or declined, and the person isn't already a member of your firm, you can invite them again and Covercy sends a fresh invitation.
Why can't I resend an invitation?
Resend is offered only on invitations that are still pending. An invitation that was accepted or revoked has no Resend action. If you need to bring someone back, send a new invitation.
My colleague already uses Covercy as a fund manager or an investor. Do they need a new account?
No. One Covercy account works across every portal a person has access to. Once they accept your invitation with that account, your firm appears as its own entry in their portal switcher.
