Invite your team to your workspace

Add colleagues to your Covercy One workspace, resend or revoke pending invitations, and understand how invites are handled.

By the end of this guide you'll have invited a colleague to your Covercy One workspace by name and email, and know how to resend or revoke a pending invitation.

Note

You need team-management permission for your organization to invite teammates. If you don't see the invite option, ask a workspace admin to grant you access or send the invitation for you.

Send an invitation

  1. Open Settings and go to Users.
  2. Select Invite and enter the person's First name, Last name, and email address. All three are required — the invitation won't send until both name fields are filled in.
  3. Optionally choose a role for the new member.
  4. Submit the form. Covercy One creates a single pending invitation and emails the person a secure link to join.

The new invitation appears in your pending-invitations list. Each person receives a unique link that expires after a set time, so invitations stay current.

Tip

The names you enter are used to fill in the person's sign-up page, together with the email address you invited, so they can get started faster. They can correct any of these details before creating their account. If the person already has a Covercy account, they keep the name on their own account — the names on your invitation never change it.

Resend or revoke a pending invitation

  • Resend — re-send the invitation email if the person hasn't joined yet. This refreshes their link.
  • Revoke — cancel a pending invitation you no longer want to stand. The link stops working.

How duplicate invites are handled

If you invite the same email address again while an invitation is still pending, Covercy One refreshes the existing invitation instead of creating a second one — so you'll always see exactly one entry per person. The refreshed invitation uses the first and last name from your latest invite, so re-inviting is also how you fix a misspelled name before the person signs up. Email matching ignores capitalization and surrounding spaces. If the person is already an active member, the invite is declined with a message that they're already on your team.

Verify it worked

Check that the person shows once in your pending-invitations list. When they open the link and accept, they move from pending to an active team member.

Can I invite someone who was previously removed or declined?
Yes. Once a prior invitation was revoked, expired, or declined and the person isn't already a member, you can invite them again and a fresh pending invitation is created.
I made a typo in someone's name. How do I fix it?
While the invitation is still pending, invite the same email address again with the corrected first and last name. Covercy One updates the existing invitation rather than creating a new one. The person can also correct their name themselves on the sign-up page.
Will the names I enter replace the name on someone's existing account?
No. Invitation names only fill in the sign-up page for someone joining Covercy for the first time. A person who already has a Covercy account keeps their own name when they accept your invitation.
Why can't I see the invite option?
Inviting teammates requires team-management permission. Ask a workspace admin to grant you access or to send the invitation on your behalf.
